Integrative health services Client Portal Terms of Use

Integrative Health Services at Hawks Hill utilizes two separate client portals to support different areas of our practice. By using either portal, you acknowledge and agree to the applicable terms below.

Integrative Health Services Portal (Acupuncture & Wellness)

Account Creation and Security

To access the Integrative Health Services client portal, you must create an account using accurate and current information. You are responsible for maintaining the confidentiality of your username and password and for all activity occurring under your account. If you believe your account has been accessed without authorization, please notify us promptly.

Personal Information and Payment Details

The Integrative Health Services portal allows you to securely store personal information, including contact information, addresses, and payment methods, to facilitate appointment scheduling and online purchases.

We utilize industry-standard security measures, encryption technologies, and HTTPS protocols to help protect your personal information. Payment information is processed and stored using secure, PCI-compliant payment processors. We do not sell your personal information to third parties.

 

Product Purchases

Clients may purchase products offered through our online store using their portal account. By completing a purchase, you agree to provide accurate billing, shipping, and payment information.

 

Appointment Scheduling

The portal allows clients to request acupuncture and wellness appointments using their saved information. Appointment availability, cancellation policies, and scheduling requirements are subject to our Practice Policies.

SimplePractice Client Portal (Mental Health Counseling)

Secure Client Portal

Mental health counseling services utilize the SimplePractice Client Portal, a secure, HIPAA-compliant platform used for communication, appointment management, intake documentation, electronic forms, billing, telehealth sessions, and other administrative functions related to counseling services.

Account Security

Clients are responsible for maintaining the confidentiality of their Client Portal login credentials and should promptly notify us if unauthorized access is suspected.

Confidential Communications

The Client Portal is intended for routine administrative communication, secure messaging, completion of required documents, billing activities, and access to telehealth appointments. The portal should not be used for urgent or emergency communications.

If you are experiencing a mental health emergency, are in crisis, or believe you may be at risk of harming yourself or others, call 911 or go to your nearest emergency department. The Client Portal is not continuously monitored and should never be relied upon for emergency assistance.

Information Accuracy

Clients agree to maintain accurate contact information, insurance information (if applicable), emergency contact information, and payment information within the Client Portal.

Third-Party Platform

The SimplePractice Client Portal is operated by a third-party service provider. While we have selected a platform designed to meet applicable privacy and security standards, your use of the portal is also subject to the policies and security practices of SimplePractice.

Appointment Scheduling

Where available, clients may request or schedule appointments through the Client Portal. Appointment requests remain subject to clinician approval, scheduling availability, and applicable cancellation and practice policies.

Modifications and Availability

Portal features and functionality may change periodically as determined by SimplePractice or Integrative Health Services at Hawks Hill. We cannot guarantee uninterrupted access to the Client Portal.

Acceptance, Suspension, and Termination

We reserve the right to suspend or terminate access to the Client Portal if its use violates these Terms of Use, our Practice Policies, applicable laws, or if continued access is otherwise inappropriate.
